Why reactive maintenance businesses struggle with reporting – and how to fix it

Reporting is broken in reactive maintenance businesses

Reactive maintenance is fast-moving, operationally complex and runs on tight margins. But most reactive maintenance businesses are still relying on manual spreadsheets, multiple disconnected software systems and outdated reports to measure performance and make business critical decisions.

Below, we take a look at the most common reporting challenges faced by RM teams, and what the best RM businesses are doing to address them.

Data is Disconnected

Most RM businesses are now using multiple software systems that have been introduced organically over time, covering the following:

  • Job scheduling
  • Time tracking
  • Quoting and sales pipeline (CRM)
  • Accounting and financial reporting
  • HR information systems (HRIS)
  • Health & Safety

However, whilst some of these may be combined in one system, e.g. job scheduling and time tracking, they are usually across 3 or 4 different systems that are not connected. Each has some “native” reporting capability, usually CSV exports or tables. However, frequently these reports don’t deliver the exact data you need, or need to be combined with other data from a different system (such as people, vehicle or fuel costs), to be meaningful.

Why this matters:

Disconnected data leads to duplicated work on multiple spreadsheets, errors and significant time delays. More importantly, it stops your leadership team from seeing the bigger picture and spotting problems early.

Reporting takes too long

You probably have at least one person spending hours (if not days) each month manually pulling reports from multiple sources, cleaning spreadsheets and creating charts.

And then… the questions begin:

  • Where did this number come from?
  • Can you add job margins by region?
  • What about technician performance?

Why it matters:

By the time a report is built, it’s already out of date. You can’t do anything about an unprofitable job if you don’t know about it until after it’s invoiced and paid. Manual reporting kills speed, accuracy and productivity. It also breeds inconsistency, meaning you often can compare apples with apples. What’s the point in year on year performance if they are measured from different sources?

You only spot issues after the damage is done

In RM, small issues can compound quickly:

  • A technician not completing a fix first time
  • Subcontractor costs overrunning
  • Work completed outside scope not being captured
  • SLAs not being met

However, without real time visibility, you often discover these too late – when it shows up in your month end P&L, or worse, in a client complaint.

Why it matters:

You can’t take proactive actions to resolve issues if your data is always looking well behind you in the rear-view mirror.

Your leadership team lacks daily visibility

Most leadership teams in RM get a monthly report. If they’re lucky. But by then, it’s usually too late to do anything about it.

What they really need:

  • A clear view of performance, every day, across operational and financial KPIs
  • Alerts when something is going wrong
  • Confidence that KPIs are accurate and up to date – more meaningfully, confidence they know how things are actually going right now – not 6 weeks’ ago.

Why this matters:

Without this visibility, even experienced leaders are forced to make reactive decisions or operate on gut feel. This gets worse as a business grows, when leaders are less connected to the day to day. It results in leaders chasing people constantly for updates or information because they want to be confident they know how things are going – this again damages productivity.

So, how are leading RM businesses fixing it?

The answer is not another spreadsheet template, or even trying to connect up Power BI to a bunch of different data in multiple speadsheets.

And it’s not recruiting a business analyst or another finance manager, even if you could afford that overhead…

Smart RM businesses are now using outsourced business intelligence solutions. A done for you reporting solution, which leverages both data and sector expertise to deliver:

  • Daily dashboards showing you the KPIs that matter to your business, not some generic financial number
  • Integrated data from all your different software, centralised in one place
  • Custom alerts when something is not on track and needs attention
  • Ongoing support no internal IT team needed
